SaaS renewal negotiation email templates (copy-ready)

Updated ยท 5 min read

Short answer

The best SaaS renewal email is short, specific and in writing. State what you use, what you want to pay, why that number is fair, and the date you need an answer. The six templates below cover the common situations: an ask to your current vendor, a quote request to a rival, a reply to a price-increase notice, a follow-up, an escalation, and a non-renewal notice.

Replace everything in [square brackets]. Delete any line you cannot back up with a fact.

Which template do I need?

Situation Template When to send
Renewal coming, no price change announced 1. Incumbent ask 90+ days before renewal
You want a real alternative 2. Quote request to a rival 100+ days before renewal
The vendor announced a higher price 3. Reply to a price increase Within a week of the notice
No reply after a week 4. Follow-up 7 days after your ask
Rep says no or stalls 5. Escalation After two exchanges
You might leave, deadline close 6. Non-renewal notice Before the notice deadline

Template 1: How do I ask my current vendor for a better renewal price?

Subject: [Vendor] renewal on [date]: our proposal

Hi [name],

Our [Vendor] contract renews on [renewal date]. We'd like to stay, and we want to settle terms well before our notice deadline of [notice date].

Here is where we are:

  • We have [110] seats. [22] had no login in the last 90 days, so we plan to renew [88].
  • We have a written quote from another provider at [$X per seat per year] for the same scope.
  • Our budget for this renewal is [$Y].

We propose renewing [88] seats at [$Z per seat per year], with future increases capped at [5]% per year.

Can you confirm by [date, about 2 weeks out]? If this needs approval on your side, happy to share anything that helps.

Thanks, [Your name]

Why it works: it gives a number, a reason, and a date. It signals you want to stay, which makes approval easier for the rep.

Template 2: How do I ask a competitor for a quote?

Subject: Quote request: [category] for [company], [seat count] seats

Hi [name],

You reached out on [date] about [product]. The timing is now right: our current [category] contract renews on [renewal date].

Could you send a written quote for:

  • [88] seats, [12]-month term, starting [date]
  • [Key features you rely on, for example SSO and API access]
  • Any migration or onboarding help included

We are deciding by [date]. A price in writing by [date] would let us include you.

Thanks, [Your name]

Why it works: vendors that pitched you are already interested. A precise scope gets a comparable price, not a generic brochure.

Template 3: How do I reply to a SaaS price increase notice?

Subject: Re: [Vendor] pricing update

Hi [name],

Thanks for the notice about the new pricing from [effective date]. Before our renewal on [renewal date], we need to understand it.

  1. Which clause in our agreement allows this increase?
  2. What does the new price include that we do not have today? If it is an AI add-on, can we renew without it at our current price?
  3. Can we keep our current plan and price for another [12] months?

An increase of [X]% is not in our budget. We are reviewing alternatives, including a written quote at [$Y]. We'd prefer to stay if we can renew at [current price] with a [5]% cap on future increases.

Could you come back to us by [date]?

Thanks, [Your name]

Why it works: it asks the vendor to justify the increase against the contract. It separates the add-on from the core product. More detail is in how to handle a SaaS price increase.

Template 4: How do I follow up when the vendor goes quiet?

Subject: Re: [Vendor] renewal on [date]: our proposal

Hi [name],

Following up on my note from [date]. Our notice deadline is [notice date], so we need an answer by [date] to plan either way.

Is there anything missing that would help you get approval?

Thanks, [Your name]

Template 5: How do I escalate a stalled renewal?

Subject: [Vendor] renewal: request for review

Hi [manager's name],

[Rep's name] has been helpful on our renewal, but we have not been able to agree on terms. We'd like your help.

Our proposal: [seats] seats at [$Z per seat per year], with a [5]% cap on future increases. It reflects our usage and a written quote we received at [$X].

Our notice deadline is [notice date]. Could we find a time this week?

Thanks, [Your name]

Why it works: it credits the rep, which keeps the relationship intact, and restates the ask in one line.

Template 6: How do I send an auto-renewal cancellation (non-renewal) notice?

Check your contract first. It may name an address, a format, or a person for notices. Send it the way the contract requires, and keep a copy.

Subject: Notice of non-renewal: [company] [Vendor] agreement [contract or account number]

Hello,

In line with section [X] of our agreement dated [date], [company legal name] gives notice that we do not intend to renew the subscription for [product] at the end of the current term on [end date].

Please confirm receipt of this notice in writing.

We remain open to discussing new terms before [end date].

[Your name] [Title], [company legal name]

Why it works: it meets the contract's notice rule and removes the auto-renewal deadline pressure. The last line keeps negotiation open. See auto-renewal clauses and notice periods. This is general information, not legal advice.

Tips that apply to every template

  • Use real numbers only. Never invent a quote.
  • Put a reply date in every email.
  • Keep a rival's quote document private. Share the number, not the file.
  • Confirm anything agreed on a call by email the same day.
  • Make sure every concession ends up in the signed order form.

Frequently asked questions

Who should I send a renewal negotiation email to?

Send it to your account manager or renewals contact, and copy the person who signs contracts at your company. If you get no reply in a week, ask for the rep's manager.

Should I mention the competitor by name?

You can, but you do not have to. Stating that you have a written quote at a specific price is usually enough. Never forward the rival's document.

Is email better than a call for renewal negotiation?

Start in writing. It gives the rep something to take to their approver and creates a record. Calls are fine later, but confirm anything agreed by email.

Does a non-renewal notice cancel my contract?

It usually stops the automatic renewal at the end of the term, depending on your contract. You can still sign a new order before the term ends if you reach a deal.

The pitches you ignore are leverage at your next renewal.

Ryvala scans Gmail once, read-only, finds your software renewals and the rivals that already pitched you, and drafts the email that gets you a better price. You send it yourself.
